Bylaw Amendment Proposal: Remove membership cards as the required method of providing proof of membership

Reasons to Support this Bylaw Amendment

  • Removing the words “membership card”, enables executives to discuss all methods that a member could use to prove his/her membership, and to choose the most efficient, yet cost effective and volunteer friendly method.

Bylaw Amendment Proposal: Eliminate “Other Volunteer Positions” category and reclassify the four roles within it as Executive Officers

Existing Bylaw Text:

Bylaw 8 — Other Volunteer Positions
(This section currently contains the four roles: Student Member at Large, Music Coordinator, Volunteer Coordinator, and Decorations Coordinator)

Each is currently defined and includes the sentence:

“This position is not an executive position and has no voting privileges at Executive or General Meetings.”

Annotated Change to Existing Bylaw:
Remove Bylaw 8 in its entirety.
Move each of the four roles (Student Member at Large, Music Coordinator, Volunteer Coordinator, Decorations Coordinator) into Bylaw 5 (Executive Members), under a new subsection.

Add the following subsection to Bylaw 5 — Executive Members:

The Student Member at Large, Music Coordinator, Volunteer Coordinator, and Decorations Coordinator are Executive Officers and have full voting privileges at Executive and General Meetings. The Student Member at Large must be enrolled as a full-time or part-time student at the University of Saskatchewan, Saskpolytech, or another post-secondary educational institution within Saskatoon and area on the date on which they take office.

Remove Bylaw 8 (Other Volunteer Positions) entirely.

 

Reasons to Support this Bylaw Amendment

  • These four roles already perform key operational leadership: planning, coordinating, and executing club activities As such, their work is functionally equivalent to other Executive Officers and should be recognized formally ensuring decision-making authority matches responsibility, improving fairness and accountability. It would then align with the bylaws with Section 2 of Policies.
  • Expanding the voting Executive strengthens the club’s ability to operate smoothly during busy periods and reduces bottlenecks when other Executive members are unavailable.
  • Simplifies governance, aligns formal structure with actual practice, and supports the club’s purpose (Bylaw 3) and general policy of supporting the Saskatoon dance community.
  • Recognizes volunteers’ leadership contributions in accordance with the expectation that all Executive and employees demonstrate honesty, integrity, respect, and accountability (Policies — Code of Conduct).
